CueSoul.ai ("CueSoul," "we," "our," or "us") is a sync licensing platform operated by CueSoul AI LLC, based in Memphis, Tennessee. This Privacy Policy explains how we collect, use, store, and protect your personal information when you visit our website, create an account, or use our services.

2. Information We Collect

Information you provide directly:

Name, email address, and contact information when you join our waitlist, create an account, or submit a brief
Payment information processed securely through Stripe — CueSoul never stores your full card number
Artist submissions including track files, metadata, and ownership declarations
Communications you send to us via email or support chat
Company information provided for white label or supervisor access inquiries

Information collected automatically:

IP address and general location data
Browser type and device information
Pages visited, time on site, and click behavior via standard analytics
Cookies necessary for site functionality and session management

3. How We Use Your Information

To operate and improve the CueSoul platform and services
To process licensing transactions and distribute artist payments
To send platform-related communications including receipts, license documents, and policy updates
To send marketing emails (waitlist updates, new catalog announcements, The Brief newsletter) — you may opt out at any time
To match music supervisor briefs with relevant catalog tracks
To verify artist ownership declarations and prevent fraudulent submissions
To comply with legal obligations including tax reporting (1099-NEC issuance)

4. How We Share Your Information

We do not sell your personal data. We share information only in the following limited circumstances:

Stripe: Payment processing. Subject to Stripe's own Privacy Policy.
ConvertKit / Kit: Email marketing platform for waitlist and newsletter communications.
Music supervisors: Artist name, track title, and sync metadata shared for licensing purposes — never personal contact information without consent.
Legal compliance: We may disclose information if required by law, court order, or government authority.
Business transfer: In the event of a merger, acquisition, or sale of assets, your data may transfer to the acquiring entity with notice provided.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Artist track files and metadata are retained for the duration of the artist's membership plus 90 days following termination. Financial records are retained for 7 years as required by U.S. tax law. You may request deletion of non-financial data at any time.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

Access: Request a copy of the personal data we hold about you
Correction: Request correction of inaccurate data
Deletion: Request deletion of your personal data (subject to legal retention requirements)
Opt-out: Unsubscribe from marketing emails at any time via the unsubscribe link in any email
Portability: Request your data in a portable format

7. Cookies

CueSoul uses essential cookies for site functionality and session management. We do not use third-party advertising cookies. You may disable cookies in your browser settings, but some platform features may not function correctly.

8. Children's Privacy

CueSoul is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, contact us at hello@cuesoul.ai and we will delete it promptly.

9. Security

We implement industry-standard security measures including SSL encryption, secure payment processing through Stripe, and access controls on personal data. No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but we take reasonable precautions to protect your information.

10. International Users

CueSoul is operated from the United States. If you are accessing our platform from outside the U.S., your information will be transferred to and processed in the United States. By using our platform, you consent to this transfer.

GDPR Users (EU/UK): Our lawful basis for processing is contract performance (for account holders) and legitimate interest (for analytics and platform improvement). EU/UK users have additional rights under GDPR including the right to lodge a complaint with your local supervisory authority.

11. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via email to registered users with at least 14 days notice. Continued use of the platform after notice constitutes acceptance of updated terms.
